Virtual interactions are becoming a larger part of most people’ business experience, but unfortunately, not everyone understands what it takes to set the stage for a popular virtual meeting.
And because the stakes are typically as high as they are in face-to-face meetings, it’s essential that business owners have the knowledge they need to run a smooth one. Here are three things you can do to make your next virtual meeting as productive as it can be.
Prepare
When you’re meeting virtually, you have to prepare much more than you do in a traditional meeting. For instance, you won’t be able to make copies of your presentation documents at the last minute and hand them out to participants, but instead you’ll need to forward them to each person who will be attending the virtual meeting. In addition, you’ll need to give everyone the login information in advance so they can check to see that the software is compatible with their system. Finally, set an agenda and forward it to participants so everyone will know what to expect.
Keep it Simple
You should use the most basic video conferencing service you can to ensure that everyone invited will have the technology to participate—it would be a disaster if you discovered a key contact couldn’t connect because your digital system won’t communicate with his dated analog one. Work out and test all of the systems compatibility before the meeting to ensure that there aren’t any embarrassing glitches the day of. Keep the Focus
Because virtual meetings can be held from anywhere, many times distractions can become a problem and takes the focus off of the issue. One way to keep them at a minimum is to mute all of the participants and takes questions and comments via the chat box. This will ensure that if some of the attendees are the coffee shop, the others aren’t distracted by the barista yelling out orders in the background.
